Frequently Asked Questions

Q: Can your software work with QuickBooks?
A: Yes. QuickBooks is a wonderful and powerful system, but it lacks the special features required to properly provide for real, member-based billing and sales tracking, especially where minimums, prepaids and automatic charges come in. With the addition of Club Office's QuickBooks Interface, you can have it all -- unprecedented flexibility when working with member accounts with the familiarity of your existing QuickBooks system.

Q: How long does it take to get your software up and running?
A: Wow, that's a loaded question! It depends on how much historical data you want to have in Club Office that is transferred from your old system. We've had some new customers up and running as quickly as only a week while other customers have chosen to spread the implementation process out to two months or more. We work closely with you to help determine what the best way is for you. The average implementation time is about three to four weeks.

Q: Can I start small and expand the system later?
A: Yes. Club Office is easy to expand as your needs grow. Our software uses standard, Windows networking in either a peer-to-peer or client-server network architecture. A single-user system on a workstation can be easily moved to a network server and still operated in single-user mode if you wish. It's incredibly flexible.

Q: What modules are provided with your software?
A: Club Office software comes as a basic package that includes general ledger, accounts receivable, membership, accounts payable, employees, payroll, inventory, fixed assets and the report generator. Unlike some products that require you to create all your own reports, our software also includes more than 700 predefined report templates and more than 50 member statement designs! Additional modules include SQLPos Point of Sale, Employee TimeClock, Event Manager, On-Line Internet Statements and for golf courses, HourGlass, our Internet tee sheet.

Q: Can I install only the special member billing features?
A: Club Office software is tightly integrated and designed with the general ledger at it's central core. Even though you may want only the membership and member billing system, Club Office comes as a basic package which also includes general ledger, accounts receivable, accounts payable, employees, payroll, inventory and fixed assets. Of course, you don't have to use all of them, but they're provided anyway

Q: How can I get a working demo of your software to try it out?
A: Better than that, we'll show it to you -- that way you don't have to spend a lot of time trying to figure things out, read the operation manual or built-in help files, etc. Plus, you can ask all the questions you want and get your answers right away.
